Overview
Electronic filing at Jurnal Keperawatan Indonesia (JKI) refers to the systematic electronic archiving, backup, and structural maintenance of all published articles, related metadata, and system records. The objective is to maintain absolute record integrity, prevent data loss, and ensure uninterrupted electronic access for readers and researchers worldwide.
Server Infrastructure and Backup Protocols
JKI’s electronic records, platform, and databases are securely hosted under the official domain and server infrastructure of Universitas Indonesia (UI). To safeguard electronic files from hardware failure, cyber threats, or accidental deletion, the technical recovery and data protection procedures include:
- Automated Daily Backups: Incremental daily backups of all full-text article files (PDF), database entries, and Open Journal Systems (OJS) configurations.
- Weekly Full Snapshots: Off-site full system snapshots are stored in secured cloud servers managed by Universitas Indonesia.
- Redundant Data Storage: Article files are mirrored across physical and cloud servers managed by the Directorate of Information Systems and Technology (DSTI UI).
- Disaster Recovery Testing: Periodic technical recovery tests are conducted to verify backend restoration capabilities and data integrity.
Record Integrity and Data Standards
The electronic filing system is designed to preserve file formats and metadata packages according to global publishing standards:
- Primary Document Formats: Published articles are filed and preserved in PDF format.
- Metadata Standards: Bibliographic data is stored in XML format, ensuring broad compatibility with indexing databases.
- Supplementary Files: Original research instruments, datasets (e.g., .xlsx, .csv), and image files provided during submission are filed securely alongside the primary article.
- Persistent Identifiers (DOI): Every electronically filed article is permanently assigned a Digital Object Identifier (DOI) via Crossref (prefix:
10.7454/jki). JKI guarantees that any future server migrations will preserve original publication dates, metadata, article files, and DOI target URLs without disruption. - Post-Publication Updates: Any official post-publication notices (errata, corrigenda, or retractions) are electronically linked and permanently attached to the original article record to uphold the integrity of the scholarly record.
